Duties:

  • Office Management:
    • Perform and execute day-to-day office operations
    • opening and closing procedures
    • reception duties
    • Receiving incoming calls
    • Administration
    • Filing
    • Purchasing office supplies
    • Payroll input for staff wages, and petty cash
  • Sales and Order Processing:
    • Manage sales processes
    • Taking and processing orders execution
    • Drawing up quotations, tax invoices, credit notes
  • Accounts Management:
    • Assist with financial transactions
    • Reconcile accounts using Pastel to generate financial statements
    • Debtors and Creditors
    • Perform monthly bank reconciliations
  • Invoicing and Payments:
    • Create invoices using Pastel
    • Collect payments
    • Age analysis and reporting
  • Logistics:
    • Coordinate daily product deliveries
  • Customer service:
    • Customer Liaison
    • Address customer enquiries and complaints
  • Reporting:
  • Prepare daily and monthly reports on:
    • Sales
    • Transport
    • Manufacturing
    • Sorting
    • Driver performance
  • Budget and Expenditure:
    • Record office expenses in line with the budget
  • Stock Management:
    • Maintain stock levels and assist with stock control and regular stock checks
