Job Summary

  • A Data Entry Officer is responsible for accurately inputting, updating, and maintaining organizational data in digital databases and spreadsheets.
  • They ensure data integrity, verify information against source documents, and maintain strict confidentiality, serving a vital role in keeping business operations running smoothly.

Key Responsibilities

  • Data Input: Transfer text and numerical data from physical documents, forms, or digital sources into company databases.
  • Data Verification: Cross-reference entered data against source documents to spot errors, correct discrepancies, and ensure information completeness.
  • Information Management: Organize, sort, and store paperwork and digital files logically for easy retrieval and future use.
  • Report Generation: Compile and generate basic data reports, spreadsheets, and summaries for management and team use.
  • Data Security & Privacy: Adhere to corporate privacy policies, handle sensitive client information securely, and perform routine data backups.
  • Administrative Support: Assist other departments with scanning, filing, photocopying, and general office duties.

Qualifications & Skills

  • Typing Proficiency: High typing speed often measured in words per minute with exceptional touch-typing accuracy.
  • Software Skills: Strong working knowledge of word processing tools and spreadsheets e.g., Microsoft Word, Excel, Google Docs and database systems.
  • Attention to Detail: Ability to meticulously review massive sets of figures and texts without mistakes.
  • Time Management: Capability to prioritize heavy workloads to meet strict processing deadlines.
  • Communication: Excellent written and verbal communication to report data anomalies to supervisors.
