About the organisation
The organisation is a local Chapter of a sub-regional network currently registered and operating as a Private Voluntary Organisation (PVO) in Zimbabwe. The network member countries are Botswana, Lesotho, Malawi, Mozambique, Swaziland, and Zambia. In Zimbabwe, the organisation is present in all ten provinces. The purpose of the network is to contribute to the sustained well-being of women and girl children through action-oriented research in the socio-legal field and advocating for women’s rights. The organisation’s work incorporates action into research by questioning and challenging the laws, policies, and practices that discriminate against women and girls, and believes in making the law work for women and girls, guided by human rights and feminist approaches that support the voices, agency, and empowerment of women and girls in all their diversity.
Job Purpose
The Finance and Administration Graduate Intern will support the organisation by assisting with day-to-day financial and administrative operations to ensure efficiency and compliance with organisational policies and donor requirements. Working under supervision, the intern will help maintain accurate financial records, process transactions, support the preparation of reports, assist with budget tracking, and provide general administrative support, while developing practical skills in NGO finance and administration.
Duties and Responsibilities
Summary of Key Functions:
Assist in recording daily financial transactions in Sage Pastel and help generate Cash Books, General Ledger reports, Bank Reconciliation Statements, and Trial Balances.
Support the preparation of complete and accurate acquittals for all advances, and help verify that payment requests are supported by adequate documentation in line with organisational financial policies.
Assist in safeguarding cash and assets in accordance with the organisation’s Financial Management Policy.
Support program staff with financial and documentation requirements for payment and procurement requests, ensuring alignment with internal policies and donor compliance guidelines.
Help maintain an organized filing system for financial vouchers, HR records, procurement documents, supplier files, and other administrative materials.
Support the procurement of goods and services (e.g., vehicle hire, accommodation, conferencing) while ensuring value for money and adherence to approved procurement procedures.
Assist in maintaining and updating procurement files and the supplier register, ensuring purchases are made only from approved vendors.
Support the maintenance of the Fixed Asset Register, assist with periodic physical asset verifications, and report variances.
Perform general administrative tasks, including reception duties, facilitating utility and office supply payments, and attending to visitors and stakeholders.
Carry out any other related duties as assigned.
Desired skills, knowledge and experience
A recently completed Bachelor’s degree in Business Administration, Accounting, and/or Finance.
No prior work experience required. Relevant internship, attachment, or volunteer experience, particularly in a non-governmental organization, will be considered an advantage.
Basic understanding of administrative and financial accounting principles, with a strong willingness to learn.
Proficiency in Excel; familiarity with Pastel will be an added advantage.
Strong interpersonal and verbal communication skills.
Ability to work effectively in a team-oriented, multicultural environment.
