Key Responsibilities

Internal Sales & Customer Service

  • Liaise directly with customers, sales teams, and supply chain departments via email and telephone to ensure accurate and timeous order fulfilment.
  • Receive, process, and distribute customer orders.
  • Handle customer queries and provide ongoing feedback regarding order status.
  • Manage incoming supplier and customer calls professionally.
  • Identify back orders or stock shortages and communicate updates to customers and sales teams.
  • Follow up on outstanding orders and ensure delivery requirements are met within agreed timelines.
  • Process proforma invoices and urgent quotations within specified turnaround times.
  • Process and manage FOL (Free on Loan) orders and related agreements.
  • Maintain regular communication with the sales team regarding logistics and operational matters.
  • Record and resolve customer complaints effectively.
  • Maintain delivery note registers for manual orders.

Administration

  • Manage all administration relating to incoming and dispatched orders.
  • Ensure all administrative systems and processes are maintained efficiently.
  • Ensure correct documentation is used for issuing and returning FOL equipment.
  • Assist with stocktakes where required.
  • Manage the Service Technician calendar and related administration.

Minimum Requirements

  • Grade 12 / Matric (Mathematics advantageous).
  • Minimum 2 years’ warehouse-related experience.
  • Minimum 2 years’ experience in a sales support or sales administration role, preferably within the chemical industry.
  • Chemical industry experience will be advantageous.

Computer Literacy

  • Microsoft Office Suite (Excel, Word, Outlook, MS Teams).
  • Syspro experience is essential.
