Primary Purpose
Reporting to the General Manager, with a functional reporting line to
the Group HR Executive, the Senior HR Coordinator will own and execute the
day-to-day human resource activities of Mont Choisy Golf Company Limited across
all business locations (Golf, Stables and the Leisure and Wellness Centre). The
incumbent will be hands-on across the full HR cycle: payroll, recruitment and
onboarding, performance management, learning and development, employee
relations, welfare, HR reporting and will supervise the HR Coordinator on
operational tasks. The Senior HR Coordinator is the point of contact for the
General Manager, HODs and employees on all people’s matters at company level,
and ensures full compliance with Mauritian labour legislation, the policies and
the SOPs in place.
Responsibilities:
· Run the monthly payroll
cycle for all business locations as per the agreed deadline, by validating and
consolidating the inputs received from the HR Coordinator, review the draft
payroll, and approve it before submission for processing.
· Maintain accurate and
up-to-date employee data on Sharepoint and HRIS platforms (Vipertex and
Sicorax) and on physical personnel files; ensure that new hires, promotions,
transfers, salary changes and exits are recorded on the same day they take
effect, and that access to confidential records is properly controlled.
· Lead end-to-end recruitment
for managerial, supervisory and specialist roles. Draft and post job adverts,
source and shortlist candidates, conduct interviews with the GM and HODs,
perform reference and background checks, prepare offer letters and contracts;
supervise the HR Coordinator on non-managerial recruitment and onboarding.
· Administer employee benefits
including medical insurance and pension process additions, removals and changes
monthly.
· Oversee leaves management
(annual leave, sick leave, vacation leave, local, maternity/paternity, study
leave): reconcile balances on the HRIS each month, follow up with HODs on
outstanding approvals and medical certificates, and produce a monthly leave report
for the GM.
· Manage the annual
performance appraisal cycle: set and communicate the calendar, brief HODs and
employees, review the quality of KPIs and objectives, consolidate ratings and
chair calibration sessions, and ensure signed appraisal forms are submitted to
the GHRE.
· Lead the annual TNA process
and submit the G1and G3 refund applications on the HRDC platform within the
deadlines; follow up on approvals, refunds and any queries raised by HRDC.
· Coordinate training
sessions, team-building activities and seminars from internal and external
trainers, manage logistics and budgets.
· Keep track of probationary
periods of new joiners and draft confirmation, extension or non-confirmation
letters as required.
· Plan and execute welfare and
engagement activities such as Employee of the Month, birthday of the month,
end-of-year event.
· Review and update job
descriptions with HODs as and when required.
· Manage the recruitment and
onboarding of expatriates: prepare and submit occupation-permit applications,
manage renewals and dependent permits, and liaise with the EDB/PIO.
· Attend to employee
grievances as and when required and advise Management on the appropriate course
of action and follow up on agreed actions.
· Lead disciplinary
procedures: suspension, warning, and dismissal letters.
· Draft and update HR
policies, SOPs as and when required; brief HODs and employees on changes,
ensure consistent implementation across Golf, Stables and the Leisure and
Wellness Centre, and review all HR documents at least once a year.
· Ensure that every new hire
attends the company induction within the first week.
· Ensure proper filing and
retention of HR documents (contracts, ID copies, certificates, medical
certificates, disciplinary records, training records, appraisals).
· Keep and maintain a complete
training database.
· Provide input to the General
Manager in the preparation of the annual HR budget (manpower, recruitment,
training, welfare, benefits and overtime.
· Ensure strict
confidentiality when dealing with sensitive matters (salaries, medical,
disciplinary, grievances and personal data) and safeguard all employee records
in line with the Data Protection Act and Group policies.
· Any other assignments as may
be delegated by the General Manager / Group HR Executive.
Qualifications & Competencies:
· Degree in Human Resources
Management, or Management with specialisation in HR.
· At least 6-7 years’
progressive experience in a generalist HR role.
Prior experience in the hospitality sector is an advantage.
· Proven people management skills.
· Eye for detail and think outside the box.
· Strong business acumen and
ability to partner credibly with senior managers.
· In-depth knowledge of
Mauritian labour legislation (Workers’ Rights Act, Data Protection Act).
· Proven experience handling
complex employee and industrial relations matters and disciplinary procedures.
· Proficient in HRIS
platforms, including Vipertex and Sicorax.
· Strong analytical skills
with the ability to translate HR data into business insight and clear reporting.
· Excellent verbal and written
communication skills, with the ability to influence at senior levels.
· Strong organisational
skills, attention to detail and discretion.
· Deep working knowledge of
human resources principles, practices and procedures.
· High level of integrity,
confidentiality and emotional intelligence.
· Excellent time management
skills with a proven ability to meet deadlines.
· Self-driven, decisive and a
collaborative team player able to function in a fast-paced and at times
challenging environment.
· Proficient with the
Microsoft Office suite and digital HR tools.
