Job Purpose
- The Store Supervisor will be responsible for managing the efficient receipt, storage, handling, issuance, and dispatch of raw materials, consumables, work-in-progress, and finished cable products. The role ensures inventory accuracy, proper documentation, safe warehouse operations, and timely support to production and dispatch schedules.
Key Responsibilities
Inventory Management
- Maintain optimal stock levels of raw materials, work-in-progress, consumables, and finished goods.
- Monitor stock movement using the ERP system, Tally, or any other approved system.
- Conduct regular cycle counts and coordinate monthly stock audits.
- Minimise stock discrepancies, wastage, damage and obsolescence.
- Ensure proper tracking of batch numbers, drum numbers, and material traceability.
- Monitor stock ageing and recommend appropriate action on slow-moving or obsolete items.
Goods Receipt and Inspection
- Oversee the receipt of incoming materials against purchase orders, delivery notes and approved specifications.
- Ensure accurate preparation and processing of Good Receipt Notes.
- Coordinate with the Quality Control team for inspection, testing, and approval of received materials.
- Ensure non-conforming materials are rejected, quarantined, and reported in line with company procedures.
- Confirm that all received materials are properly documented, labelled, and stored in the correct locations.
Storage and Warehouse Management
- Ensure proper storage of raw materials, consumables, and finished products in line with safety and quality requirements.
- Maintain appropriate storage conditions for sensitive materials, including moisture-sensitive compounds and chemicals.
- Implement FIFO and other approved stock rotation methods.
- Optimise warehouse layout for hazardous materials, fast-moving items, bulky materials and finished goods.
- Ensure safe stacking, labelling, identification, and segregation of all materials.
- Maintain high standards of housekeeping and warehouse organisation.
Dispatch and Logistics Coordination
- Plan, coordinate, and supervise the dispatch of finished goods to customers or designated locations.
- Ensure accurate picking, packing, loading, and verification of products before dispatch.
- Verify dispatch documentation, including delivery notes, invoices, and packing lists. And other required documents.
- Coordinate with logistics, transport, sales and dispatch teams to ensure timely delivery.
- Resolve dispatch-related issues and escalate where necessary.
ERP and Documentation Control
- Ensure real-time updating of inventory transactions in the ERP system.
- Maintain accurate records of material receipts, issues to production, transfers, returns and dispatches.
- Generate inventory, consumption stock variance, and stock ageing reports.
- Ensure proper filing and retrieval of all stores and warehouse documentation.
- Support internal and external audits by providing accurate inventory records and reports.
Coordination
- Ensure uninterrupted supply of materials to production lines in line with production schedules.
- Work closely with production planning, procurement, quality, and maintenance teams to support plant operations.
- Monitor material consumption against the approved Bill of Materials.
Team Management
- Supervise warehouse assistants, store clerks, loaders, and other stores personnel.
- Allocate daily tasks and monitor team performance.
- Train staff on safety, material handling, stock control, documentation, and standard operating procedures.
- Enforce discipline, accountability, and compliance with company policies.
- Promote teamwork, productivity, and continuous improvement within the store's team.
Health Safety, Quality, and Compliance.
- Ensure compliance with health, safety, environmental, and quality standards in warehouse and store operations.
- Ensure proper use of personal protective equipment by all store staff and visitors.
- Maintain fire safety emergency readiness and safe access within storage areas.
- Ensure compliance with applicable ISO standards, including ISO 9001, ISO 14001, and other relevant standards.
- Report unsafe conditions, incidents, near misses, and non-compliance issues promptly.
Cost Control and Operational Efficiency
- Avoid overstocking, stockouts, excess inventory and unnecessary holding costs.
- Optimise warehouse space utilisation and material flow.
- Improve turnaround time for material issuance, goods receipt, and dispatch.
- Identify opportunities to improve stores' processes, controls, and operational efficiency.
- Support cost-saving initiatives through better stock management and waste reduction.
Academic and Professional Qualifications
- Bachelor’s degree in Supply Chain management, Logistics, Business Administration, Engineering, or a related field.
- 5-10 years’ experience in stores, warehouses, or inventory management
- Experience in cable manufacturing, industrial, engineering, or general manufacturing is preferred.
- Hands-on experience using ERP systems such as Tally is preferred.
