STORES CLERK

1. Inventory Management & Stock Control

  • Maintain accurate stock levels for drugs, consumables, pet food, equipment, and cleaning supplies.
  • Perform daily stock checks for fast‑moving items and weekly full‑store audits.
  • Record all stock movements (receipts, issues, returns, adjustments) in the inventory system.
  • Flag low‑stock items early and prepare replenishment requests for approval.
  • Ensure FEFO/FIFO principles are followed, especially for medicines and perishables.

2. Receiving & Verification of Deliveries

  • Receive all incoming goods and verify quantities, batch numbers, and expiry dates.
  • Cross‑check deliveries against LPOs, delivery notes, and invoices.
  • Report discrepancies, damages, or short‑deliveries immediately to the Procurement/Accounts team.
  • Ensure proper documentation and filing of all receiving records.

3. Storage, Labelling & Organization

  • Arrange stock neatly and logically in designated shelves, bins, and cold‑storage areas.
  • Label all items clearly with names, batch numbers, and expiry dates.
  • Maintain a clean, hygienic, and pest‑free store environment suitable for veterinary products.
  • Ensure controlled drugs are stored securely according to regulatory requirements.

4. Issuing of Stock to Departments

  • Issue stock to reception, pharmacy, wards, and doctors based on approved requisition forms.
  • Record all issues immediately to maintain real‑time stock accuracy.
  • Prevent unauthorized access or unrecorded stock movement.

5. Expiry Management & Quality Assurance

  • Conduct weekly expiry checks and maintain an expiry‑tracking sheet.
  • Isolate expired or damaged items and report them for disposal.
  • Ensure cold‑chain items are stored at correct temperatures and monitored daily.

6. Reporting & Documentation

  • Prepare daily, weekly, and monthly stock reports for management.
  • Maintain updated stock cards, bin cards, and digital records.
  • Assist with internal audits and provide required documentation promptly.

7. Compliance & Operational Support

  • Follow Chelston Veterinary Hospital SOPs for inventory, procurement, and controlled drugs.
  • Support the Accounts team with documentation for VAT, Smart Invoice, and supplier reconciliation.
  • Participate in periodic stock‑taking exercises across all branches when required.

8. Professional Conduct

  • Maintain confidentiality, integrity, and professionalism at all times.
  • Work closely with doctors, receptionists, and procurement staff to ensure smooth operations.
  • Uphold the hospital’s standards of accuracy, transparency, and humane veterinary care.
