Position Details
Position Title: Administration Intern
Location: Lusaka – Head Office
Contract Duration: Six Months
Reporting Line: AD Assistant
Purpose of the Position
The Administration Intern will support and assist with office management and procurement functions at GNZ Head Office. The intern will provide administrative support to the Administration Department in ensuring smooth administrative operations and timely provision of goods and services.
Key Duties and Responsibilities
1. Office Management
Assist in maintaining the office environment in a clean, safe, and organized condition.
Assist in maintaining office supplies, stationery, and equipment stock levels.
Support the reordering of office supplies as necessary.
Assist with office maintenance, repairs, and utilities by following up on requests and reporting any issues to the AD Assistant.
Support administrative activities, including reception, filing, and documentation.
Assist with meetings, events, and travel logistics for staff as required.
2. Procurement Support
Support the procurement process for goods and services, following GNZ procurement policies.
Assist in obtaining quotations, maintaining vendor records, and preparing purchase requests.
Assist with follow-up on procurement orders, deliveries, and receipts.
Maintain proper documentation for procurement transactions for audit and reporting purposes.
3. Asset Management
Assist with maintaining an up-to-date fixed asset register and tracking GNZ assets.
Assist with periodic physical verification of assets and checking physical assets against available records.
Assist with proper tagging, storage, and maintenance of office equipment, vehicles, and other assets.
Report damaged, lost, or missing assets to the AD Assistant.
Assist in preparing asset-related reports for management, donors, and audits.
4. General Administration
Support general administration including office management, logistics support, asset control, filing, and other support services.
Perform any other task as assigned by the line manager.

2. FINANCE INTERN - 1 POSITION
Position Details
Position Title: Finance Intern
Location: Lusaka – Head Office
Contract Duration: Six Months
Reporting Line: Finance Officer
Purpose of the Position
The Finance Intern at Good Neighbors Zambia (GNZ) will support the day-to-day financial operations of the organization. Under the supervision of the Finance Officer, the role will assist with accounting records, payment documentation, financial filing, donor compliance support, and routine financial reporting, while gaining practical experience in financial management and accounting procedures.
Key Duties and Responsibilities
1. Financial Transactions and Record-Keeping
Assist in recording financial transactions in the accounting system in accordance with GNZ financial procedures.
Assist in maintaining proper filing of financial documents including vouchers, receipts, invoices, and supporting documents.
Assist in checking that transactions have the required supporting documents, approvals, and correct coding.
2. Payments and Cash Management
Assist in preparing payment vouchers, requisitions, and electronic payment documentation for review and approval.
Assist in processing supplier payments, staff advances, and reimbursements.
Support petty cash management, including replenishment and reconciliation.
3. Bank and Account Reconciliation
Assist in preparing bank reconciliations and cashbook reconciliations on a monthly basis.
Assist in checking outstanding items and discrepancies and report them to the supervisor.
4. Payroll and Statutory Support
Support payroll preparation by compiling attendance, leave, and allowance data.
Assist with organizing and filing payroll-related documents as required.
5. Budget Monitoring and Reporting Support
Support budget monitoring by assisting with tracking expenditures against approved budgets.
Assist in the preparation of financial reports for management, donors, and headquarters.
Assist in providing financial data and documentation for audits and reviews.
6. Compliance and Internal Controls
Support compliance with GNZ financial policies, donor requirements, and internal control procedures.
Report any financial discrepancies or irregularities to the supervisor.
Assist with the implementation and follow-up of audit recommendations as directed by the supervisor.
7. Coordination and Communication
Support communication with Program, HR, Logistics, and Administration teams on finance-related matters.
Provide support to field offices and project teams on financial documentation and procedures as directed by the supervisor.
