POSITION: Export Officer (2 Position)

REPORTING TO: Exports Supervisor

LOCATION: Lusaka

JOB PURPOSE

To execute all cargo export functions from acceptance through to dispatch of consignments, ensuring compliance with airline, regulatory, customer, and organizational requirements. The Export Officer is responsible for coordinating cargo and mail acceptance, documentation, handling, storage, and dispatch activities in accordance with Service Level Agreements (SLAs), Standard Operating Procedures (SOPs), and applicable aviation regulations.

Key Responsibilities

Cargo Acceptance and Documentation

  • Calculate applicable freight and handling charges, collect payments where required, prepare air waybills, detach and file relevant copies, and submit documentation for manifesting.
  • Ensure all accepted cargo is properly documented, labeled, accounted for, and prepared for shipment in accordance with airline and regulatory requirements.
  • Prepare outgoing and incoming cargo manifests in line with airline, customs, and company standards.
  • Prepare Notification to Captain (NOTOC) documentation for all dangerous goods and special cargo requiring declaration.
  • File and maintain cargo receipts, dockets, manifests, air waybills, and other cargo-related documentation.
  • Sort, distribute, and file incoming cargo documentation accurately and promptly.

Cargo Operations and Compliance

  • Ensure all cargo handling activities are conducted in accordance with company policies and procedures, IATA, ICAO, ZCAA regulations, customer SLAs, SOPs, and industry best practices.
  • Monitor compliance with cargo acceptance closeout times and ensure cargo is positioned and ready for loading within prescribed timelines.
  • Supervise cargo and mail loading activities to ensure safety, security, and operational efficiency.
  • Ensure proper handling and processing of special cargo, including Valuable Cargo (VAL), Vulnerable Cargo (VUN), Dangerous Goods (DG), and other regulated shipments.
  • Make advance arrangements for the handling of special cargo, including coordinating specialized security personnel, equipment, and transport where required.

Equipment and Quality Control

  • Conduct daily scale accuracy checks using calibrated weights and record results on the prescribed scale check sheets.
  • Identify and report equipment defects and tag unserviceable equipment for repair or replacement.
  • Coordination and Communication
  • Liaise with Load Control regarding cargo bookings, available space, load planning, and space utilization.
  • Communicate cargo and mail volumes, weights, and special handling requirements to relevant operational departments.
  • Ensure interline cargo is accepted and handled in accordance with all carrier requirements and IATA TACT Rules.
  • Attend to cargo-related customer enquiries and provide timely and professional assistance.
  • Coordinate with airline representatives, customs authorities, security agencies, and other stakeholders to facilitate efficient cargo movement.

Operational Performance

  • Support the achievement of on-time flight departures by executing cargo-related tasks within required operational timelines.
  • Contribute to the continuous improvement of cargo handling processes, safety standards, and customer service delivery.

QUALIFICATIONS AND EXPERIENCE

  • Grade 12 School Certificate or equivalent.
  • Diploma or Degree in Logistics, Transport Management, Aviation Management, Supply Chain Management, Business Administration, or a related field.
  • Minimum of two (2) years' experience in cargo operations, freight forwarding, logistics, warehousing, or aviation ground handling.
  • Knowledge of air cargo operations, cargo documentation, and airline handling procedures.
  • Working knowledge of IATA Cargo Handling Procedures and IATA TACT Rules will be an added advantage.
  • Computer literacy, including proficiency in Microsoft Office applications and cargo management systems.

WORKING CONDITIONS

  • Shift-based work, including weekends and public holidays as operationally required.
  • Frequent interaction with cargo handling equipment and operational areas.
  • May involve lifting, inspection, and movement of cargo within prescribed safety limits.
