Roles and Responsibilities
- Manage Import Shipments and Delivery Activities
- Coordinate all import shipments from the arrival of cargo at the port or airport through to final delivery at the company warehouse
- Review supplier shipping schedules and ensure alignment with material requirements and production plans.
- Monitor shipment milestones including booking, loading, vessel departure, transshipment, arrival, customs clearance, and warehouse delivery.
- Maintain visibility of all inbound shipments and communicate status updates to stakeholders
- Follow up with suppliers to ensure timely shipment of goods according to agreed delivery terms.
- Coordinate shipment consolidation activities where applicable to optimize freight costs.
- Shipping Line and Transitory Management
- Coordinate with shipping agents, airlines, and transport providers regarding shipment movements.
- Obtain freight quotations and compare shipping options for cost and service optimization.
- Monitor Transistor performance against agreed service levels.
- Follow up on cargo bookings, vessel schedules, and container allocations.
- Resolve shipment disruptions arising from vessel rollovers, route changes, port congestion, or transportation delays.
- Maintain good working relationships with logistics service providers.
- Ensure timely submission of freight invoices and supporting documentation.
- Customs Clearance Coordination
- Coordinate customs clearance activities to ensure timely release of imported goods.
- Liaise with customs clearing agents regarding import declarations and clearance status.
- Ensure all required customs documentation is available before cargo arrival.
- Monitor customs inspection processes and provide required supporting documents.
- Follow up on duty payments and customs processing requirements.
- Resolve customs-related queries and discrepancies.
- Ensure compliance with Ethiopian Customs Commission regulations and other applicable government requirements.
- Import Documentation Management
- Review and verify all import documentation for accuracy and completeness.
- Manage and maintain documentation including: Proforma Invoices, Commercial Invoices, Packing Lists, Bills of Lading, Airway Bills, Certificates of Origin, Insurance Certificates, Import Permits, Customs Entry Documents and Freight Invoices.
- Ensure shipping documents are received before cargo arrival.
- Maintain organized electronic and hard-copy filing systems for all import records.
- Maintain effective communication with suppliers, shipping agents, transport companies, customs agents, banks, and internal departments.
- Provide timely updates regarding shipment status and delivery schedules.
- Coordinate issue resolution among all parties involved in the import process.
- Maintain accurate records of imports, shipments, costs, and logistics activities.
- Prepare weekly and monthly logistics performance reports.
- Report shipment delays, customs issues, and corrective actions.
- Ensure all records are up-to-date, accurate, and available for audit purposes.
