Employment Information

We are looking for an organised and reliable Administrator to handle the day-to-day admin of the business and act as the main point of contact for general office matters. The role will involve dealing with customers, suppliers, paperwork, basic stock records, invoices, orders, filing, and general office support

A minimum of 3 - 5 years similar experience is required.

Customer and Sales Admin

  • Answer phone calls, emails and WhatsApp messages
  • Take customer orders and record them accurately
  • Prepare quotations, invoices, delivery notes, and basic sales documents
  • Follow up with customers where required
  • Keep customer details and information updated

Supplier and Purchasing Admin
  • Contact suppliers for quotes and order information
  • Prepare basic purchase orders where needed
  • Capture supplier invoices and delivery documents
  • Keep supplier records and paperwork organised

Stock and Production Records
  • Keep basic records of stock received, stock used, and stock sold
  • Assist with stock counts
  • Record basic production information such as quantities made, packed, or dispatched
  • Report any obvious stock or paperwork discrepancies to management

Accounts Admin Support
  • Keep records of customer payments and outstanding amounts
  • File invoices, statements, delivery notes, and proof of payments
  • Prepare documents for the bookkeeper or accountant
  • Assist with basic debtor and creditor follow-up

General Office Admin
  • Maintain organised physical and electronic filing
  • Keep office documents and templates updated
  • Assist management with basic reports and admin tasks
  • Be the general go-to person for office and admin matters
Required Skills
Matric and 3 - 5 years office / operations experience is essential
Good working knowledge of Microsoft Excel, Word, and Outlook
Able to work accurately with numbers, quantities, and documents
Good communication skills
Organised and reliable
Able to follow instructions and keep records properly

Advantageous
Experience in a manufacturing, warehouse, packaging, or stock-control environment
Experience with basic invoicing or accounting software
Experience with ERP systems
