The Spare Parts Sales Representative plays a crucial role in actively engaging with customers, handling inquiries,
and ensuring prompt and accurate order processing to enhance overall customer satisfaction. This position
collaborates with the sales team to provide insights on product availability and pricing, actively participating in sales
strategies and promotions to improve conversion rates. The role is responsible for managing end-to-end order
processing, coordinating with the procurement department to streamline processes and reduce fulfillment times.
Additionally, the Spare Parts Sales Representative focuses on co-ordinating with the Inventory & Procurement
department to maintain efficient inventory levels, minimizing stockouts and overstock situations. The role also
contributes to data-driven decision-making by providing accurate and insightful information on sales activities,
customer interactions, and inventory levels.

MAIN DUTIES
- Customer Sales and Service

Customer Sales and Service:

  • Actively engage with customers to understand their needs and provide product information.
  • Assist in the sales process, handle inquiries, process orders, and generate invoices promptly and accurately.
  • Build and maintain positive customer relationships to enhance overall satisfaction.
Goal: Achieve an increase in customer satisfaction scores through proactive engagement, prompt order
processing, and effective issue resolution.
Sales Support and Coordination:
  • Communicate with the machine sales team to provide insights on product availability, pricing, and inventory levels.
  • Assist in the implementation of sales strategies and promotions to drive success.
  • Participate in marketing initiatives and events aimed at increasing sales.
  • Actively contribute to spare parts sales to achieve monthly, quarterly, and yearly targets.
Goal: Improve sales conversion rates by actively participating in sales strategies, promotions, and
marketing initiatives.

Quoting and Follow-Up:
  • Prepare and send customer quotes promptly and accurately.
  • Follow up on all outstanding quotes to maximize sales conversion.
  • Share insights into sales performance to support data-driven decision-making.
Goal: Ensure accurate and insightful reporting to enhance business strategies.
  • Maintain a record of quotations and follow-ups to track success rates and identify trends.
  • Work closely with customers to address concerns or provide alternative solutions.
Goal: Increase conversion rates by ensuring timely and persistent follow-ups on customer quotes.

Client Order Processing:
  • Manage end-to-end client order processing, from quotation to invoicing, ensuring accuracy and efficiency.
  • Coordinate with the Procurement & Inventory Manager and Admin to ensure timely procurement and
  • restocking of required items.
  • Follow up with Procurement & Inventory Admin on procured goods for customer orders.
  • Liaise with the Receiving & Dispatch Supervisor to ensure timely order fulfillment.
Goal: Streamline order processing to reduce fulfillment times through improved requisitioning, invoicing,
and proactive communication.

Ad Hoc Tasks:
- Participate in additional projects and company-related activities as required (e.g., stock take).

SKILLS ANDQUALIFICATIONS
- Mature, with sober habits
- Experience in parts department / procurement operations
- Supervisory experience (advantageous)
- Strong verbal and written communication skills in English
- Excellent attention to detail
- Strong leadership and negotiation skills
- Exceptional communication and interpersonal skills
- Team player with the ability to work independently and complete tasks within deadlines
- Deadline- and results-driven mindset
- Strong problem-solving ability
- Advanced computer skills, including report writing
- Excellent organizational and time management skills
EDUCATION AND TRAINING REQUIREMENTS
- Matric (Grade 12)
- Proficiency in Microsoft Office Suite, especially MS Excel
- SAP Knowledge (advantageous but not required)
- Experience in spare parts sales
- Experience working in a procurement environment
